Remote Keying Overview

< Back

This add-on software module allows check images and scan line data from the DocuTran software to be transmitted to a remote data entry provider for courtesy amount keying while retaining the ability to have final validation through DocuTran's Qualikey alogrithms. Images and transaction data are seemlessly exported and imported back into DocuTran.

Features

  • Ability to export complete and partial check images
  • Ability to export remittance match payment amounts from the document’s scan line
  • Expandable - can handle any document processed through DocuTran
  • Provides feedback on work completed and exceptions
  • Supports all forms of communications including T1, or ISDN
  • Supervisor control of all work queues
  • Real-time status monitoring

Description

DocuTran's remote data entry provides organizations the flexibility to outsource as little or as much of the work as makes good business sense.

The process begins with the capture of the images during the normal first pass processing of the items. The images of the checks that are eligible to be remotely keyed are batched, and optionally reduced in size. The center one-third of each image, which typically contains the courtesy amount box and legal amount line, may be stripped from the image. Transmitting only this center piece of the image can reduce the transmission time of each work unit significantly.

These images and a number of confirming amounts are transmitted via any available communication method. Results are returned and re-integrated with the DocuTran database, where transactions are subject to the same validation as any that would be keyed locally.

Eligibility for remote data entry may be determined automatically or by a supervisor who has a status screen that provides information about the amount of work waiting to be sent, work in process and work completed.

Data Import and Validation

The batched data is returned from remote data entry and imported back into DocuTran. The data is merged into the work in process file as the equivalent of the first data entry keyer. From this point forward, the items follow the traditional DocuTran workflow. If the dollar value returned by remote data entry does not match a confirming amount, the item will be processed in accordance with the rules and procedures established by the customer.
